Do you want to wear your own colours? Do you have the motivation and team to create your own club? This page will help you to go through the different steps required to create a triathlon club in Queensland. It is an easy process; be organised, and it will be a success!

Benefits to Clubs to Affiliate with Triathlon Queensland

The following benefits are offered to all clubs affiliated with Triathlon Queensland (TQ):

·               Recognition as an affiliated triathlon club of TQ and Triathlon Australia (TA).

·               Eligibility to compete in TQs Inter Club Championship.

·               First hand news of TQs sanctioned events, coaching, policies, development information and TA announcements.

·               Reduced fees for members of your club for Personal accident insurance through Triathlon Australia (individual membership opens 1st June 2009 must have responded by this time to receive club discount for your members).

·               Access to comprehensive insurance through Triathlon Australia for public liability and directors and officers insurance. 

·               Access to TQs resources, personnel and seminars for coaching advice, junior development and education.

·               Access to TQs policies for implementation.

·               Awareness & assistance with club development in areas such as strategic planning, risk management, child protection, event management and funding opportunities.

·               Promotion and recommendation as an affiliated triathlon club to through listing on the TQ Web Site and through promotional material.

·              Eligibility to apply and conduct sanctioned events which includes the provision of qualified technical officials and race judges


How to Form a Triathlon Club

1)     Firstly a meeting of all interested persons must be held.  At this meeting the following must be agreed by majority vote:

a)     To form a club

b)     The preferred name plus one alternative name for the club

c)      The preferred club colours (cannot clash with current club colours)

d)     The club is advised to become incorporated & public liability insurance

e)     Election of office bearers, the minimum being President, Secretary and Treasurer. 

f)        The official address of the club

g)     The name, address, telephone numbers of the person who will act as the club contact

h)      Training venues of the club

i)        The annual fee for club membership (average fee $15/U23 - $30/adult - $40/family) On line payments

2)     The Triathlon Queensland Club Affiliation Fee is $150 per club/squad.

 

How many members required to form a Club?

The TQ constitution states that a fully affiliated club shall consist of no less than 13 members.  This is based on an Executive of three members (President, Secretary and Treasurer) and ten ordinary members.  Provision can be made for a lesser number of members, but this is decided by TQ on a case-by-case basis.

Regional Club Memberships: These are for members of regional clubs West of Dalby, North-West of Kingaroy and North of Gympie. This is a Triathlon Queensland Development Initiative to promote clubs and triathlon in regional areas.

 

 Club Development & Support

Triathlon Queensland will be developing a range of resources and education seminars and meeting for clubs to learn the skills to better manage their clubs.  Meetings will be held regularly and resources made available on the TQ website www.triathlonqld.com.au.  Triathlon Queensland is also available assist with the benchmarking of current services and assistance in the development of management resources tailored to your club including strategic planning, risk management, committee development, event management, child protection policy development.

Coaching courses, support & training seminars

Triathlon Queensland also provides a coaching information and assistance service to all clubs.  Education and Training courses are advertised on the website.  Education Seminars will be held at various times during the year all members are welcome. 


Event & Race Information

TQ can provide information and assistance to any club intending to conduct their own multisport events.  We have an event management guide.  Triathlon Queensland will be providing all sanctioned events with the support of a qualified official at all venues through Queensland.  Qualified officials will be also offering training for officials all around the state.  For assistance with event management or sanctioning procedures please contact the staff in the TQ office.

Race Rules

Triathlon Queensland and TQ sanctioned events are to be conducted under the Triathlon Australia Race rules, these can be found on TA website www.triathlon.org.au .


Incorporating a Club

What is Incorporation ?


An incorporated association receives recognition as a legal entity separate from its members and offers some protection for office holders from any debts or liabilities incurred by the group as long as the association doesnt make a profit for its members.  Most Funding programs and opportunities will only fund incorporated associations

How to incorporate

1)     Name for the association need at least two alternative names as well

2)     Draft set of rules of the association (the constitution)

a)     Model Rules for Associations set out in the Act can be adopted unaltered if your committee chooses to amend your constitution it still needs to address all the topics in the model rules.  The Queensland model rules are available on-line at http://www.fairtrading.qld.gov.au/association-constitution.htm

3)     Public meeting

a)     Before the meeting you will have to identify people interested in being members and office bearers in the new association.

b)     Type out formal motions

·        I move that the [name of association] be formed, and that the [name of association] rules be those attached

·        I move that the [name of association] incorporate as an incorporated association under the provisions of the Associations Incorporation Act.

c)      Arrange for one person to move each motion and another to second it.

d)     Print out copies of the Agenda, Motions & Constitution for as many people you think will come.  Give at least 4 weeks notice for the meeting

Making the application

Once the meeting has passed the resolutions to incorporate and approved the rules for the association, you have to lodge your application with the Office of Fair Trading GPO Box 3111, Brisbane Q 4001.  Download the Application form http://www.fairtrading.qld.gov.au/incorporated-association-forms.htm

After Incorporations

Once your application has been approved and you have received your certificate of incorporation, there are duties to be done:

·        Your new name (including Inc) must appear on all your documents and publications

·        You will need a common seal (available from any rubber stamp maker)

·        You must have a registered address.

·        You must open a bank account in the name of the association

·        You must maintain public liability insurance policy from an approved insurer Triathlon Australias insurance is one of these.

·        Keep a set of books to record the financial transactions of the association and a register of members and committee members.  A folder to keep minutes of committee meetings and general meetings must also be kept.

·        Annual general meetings Incorporated associations must hold a general meeting every year
